Overview

JOB DESCRIPTION: Medical Assistant (M.A.) Lead

 

DEPARTMENT: General Medicine

 

REPORTS TO: Chief Medical Officer

 

POSITION OVERVIEW:

 

The Lead Medical Assistant/Educator will be responsible for the coordination, planning and preparation of all newly hired M.A.’s as well as on-going annual competency trainings.

Responsibilities

DUTIES/RESPONSIBILITIES:

 

M.A. Duties- Performs all standard M.A. tasks and duties (as indicated below).

  1. Participates with medical/interdisciplinary team to coordinate and facilitate patient flow and chart management.
  2. Performs vitals: blood pressure, height, weight, temperature, pulse, etc.
  3. Assists providers with medical procedures within scope as directed.
  4. Assist clients in completing the medical history and medical program intake forms, and/or consents, ensuring that the patients understanding when obtaining patient signature.
  5. Makes and documents appropriate referrals and forwards them in a timely manner to the referrals clerk to ensure patient care & compliance according to agency standards.
  6. Undertakes continuous self-improvement, attending applicable training, seminars, in-services and educational classes to maintain skills competency and current knowledge for standard of care and effective practices.
  7. Ensures use and completeness of all applicable forms in relation to the patient’s visit/diagnosis (such as flow sheets, growth plot sheets, etc.).
  8. Works in conjunction with the assigned provider by reviewing patient chart for completeness, errors, missing signature, etc.
  9. Shall maintain exam rooms re-stocked.
  1. Responsible for following all agency safety and health standards, regulations, procedures, policies and practices.
  1. Shall scan all pertinent forms, lab results, diagnostic reports, etc., following FHCCGLA Policies & Procedures.
  2. Responsible to provide immunizations to adults & children (for children shall follow the Standards for Pediatric Immunization Practices) following FHCCGLA Policies & Procedures.
  3. Ensures that accurate records are being maintained (through CAIR, NextGen, etc.) of all administered immunizations in order to generate accurate reports for FHCCGLA, VFC, and/or other entities as required.
  4. Identifies, initiates and implements measures to deliver high quality care to patients and improve services.
  1. Responds efficiently and timely to all patient and provider staff needs and inquiries.
  2. Ensures excellent customer service to all FHCCGLA patients.
  1. Works with the operations managers to manage patient scheduling and flow to address bottlenecks, scheduling issues, etc.
  1. Handles patient grievances according to FHCCGLA’s Policy & Procedure.
  1. Assists in developing, updates & reviews of FHCCGLA Policies & Procedures (P&P’s) as needed (with input from all other key personnel).
  2. Ensures HIPAA compliance by maintaining strict confidentiality of all patient data and E.H.R./Practice Management System (PMS) according to regulations and FHCCGLA’s P&P’s.
  3. Attends the following meetings/trainings:
    1. Mandatory Quarterly Staff Meeting/Trainings- Quarterly (Jan., Apr., Jul. & Oct.)
    2. Corporate Risk Management Meeting- Quarterly (Jan., Apr., Jul. & Oct.), as needed (advanced notice will be provided when feasible)
    3. Clinical & Operations (C&O) Meeting- As needed (advanced notice will be provided when feasible)
    4. Meetings with FHCCGLA’s Executive Leadership, as needed (advanced notice will be provided when feasible)
  1. Other pertinent meetings- As scheduled
  2. Remains informed of:
    • Current legal and regulatory changes related to scope of practice.
    • Specific programs/payors, insurances accepted, and services being offered at FHCCGLA.
    • All applicable Policies & Procedures.

   24. May be required to participate in outreach activities within the surrounding communities (i.e. schools, health

         fairs, community organizations, etc.) in efforts to promote and increase immunizations and/or services.

   25. Responsible to ensure HIPAA compliance with regards to all patient information.

   26. All other duties as assigned.

 

Lead M.A.

Duties- Primary responsibility as Lead M.A. will be duties as indicated below:

  1. Shall train all new hire M.A.’s to ensure initial competency is completed and met as required.
  2. Shall ensure that all annual M.A. competencies are scheduled, coordinated and performed for all FHCCGLA M.A.’s ensuring patient flow is not disrupted.
  3. Shall participate in the Quarterly Staff Meeting by:
    • Assisting with PowerPoint Presentations related to staff trainings/education.
    • Conducting break out session trainings for all FHCCGLA M.A.’s
  4. Shall assist in pre-audit activities for CHDP, My Health LA, Managed Care, Dept. of Health Services, CPSP, etc.:
    • Expiration checks
    • Crash cart check
    • Equipment Cleaning Log Check
    • ETC.
  5. Shall assist with monthly inventory, restocking, etc. 
  6. Assist clinic managers and CMO to develop clinical workflows, develop training plans for medical assistant, develop competencies for new processes.
  7. Responsible for providing focused one on one training for medical assistants identified with training need.
  8. All other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS:

 

  1. M.A. Certificate, required.
  2. High school diploma, minimum.
  3. FQHC experience, highly preferred.
  4. Excellent analytical skills.
  5. Requires exceptional organizational skills.
  6. Knowledge of immunization practices.
  7. Computer knowledge, a must.
  8. Motivation to take initiative to ensure all tasks performed are completed thoroughly and accurately.
  9. Excellent writing and verbal communication skills.
  10. Knowledge of administrative principles and procedures.
  1. Computer knowledge preferred (e.g., NextGen (E.H.R. & PMS), Microsoft Word and Excel).
  1. Able to carry/lift a minimum of ten pounds.
  2. Ability to take initiative in performing and completing tasks.
  1. Bilingual English/Spanish and familiarity with the Hispanic culture.
  2. Work schedule may include evenings, overtime, and weekends as needed.
  1. Motivated and committed to the provision of high-quality healthcare for indigent and underserved communities.
  2. Ability to speak Spanish, preferred.
  3. Ability to prioritize workload and work under pressure of deadlines.
  4. Commitment to the provision of high quality health care services and the goals and mission of Family Health Care Centers of Greater Los Angeles, Inc.
  5. Willingness and ability to perform tasks in changing work environment.
  6. Adaptability to agency growth changes related to programs and modifications as needed.
  7. Willingness to travel to and from all FHCCGLA clinic sites as needed (current driver’s license & insurance is required).
