Overview

POSITION OVERVIEW:

The Accounting Clerk is an important position within FHCCGLA’s Accounting team as this position supports the financial health of the organization by assisting the accounting department. Accounting clerk works closely with The Accounting Supervisor and CFO to ensure the accuracy of accounting information.  This position requires adherence to company policy & procedures (P&P’s) and accounting standards and requires a high level of attention to detail and organizational skills. 

 

This position is part-time requires 20 hours per week 4-hour shifts Monday through Friday.  This position requires in-person attendance on-site, at our Commerce facility

Responsibilities

DUTIES / RESPONSIBILITIES:

  1. Assists to maintain accurate financial records by ensuring precise recording of all entries.
  2. Processes a high volume of accounts payable transactions efficiently and accurately.
  3. Receives, verifies, and reconciles all invoices in a timely manner.
  4. Performs vendor statement reconciliations to ensure accuracy and resolve discrepancies.
  5. Reconciles bank statements.
  6. Reviews and process employee expense reports in compliance with company policies.
  7. Identifies, investigates, and resolves billing discrepancies promptly.
  8. Matches invoices to corresponding receipts and ensure proper documentation.
  9. Disburses petty cash as needed and maintain proper records.
  10. Ensures all payments are accurately documented and processed.
  11. Maintains accurate and up-to-date financial records in accordance with company policies.
  12. Manages and maintain vendor records, ensuring up-to-date information and proper communication.
  13. Responds promptly and professionally to vendor inquiries and concerns. Escalates and communicates all pertinent matters to the Accounting Supervisor as needed to ensure that inquiries/concerns are handled appropriately based on the particular circumstance.
  14. Understands and apply expense accounts and cost center classifications to ensure proper allocation.
  15. Assists with bookkeeping tasks, including data entry and record-keeping.
  16. Performs clerical duties such as:
    • Proper filing of all accounting documents for easy retrieval,
    • Organizing, and maintaining financial documents.
    • Pulling files as needed for audits, etc.
  17. Assists with month-end closing activities to ensure timely financial reporting.
  18. Collaborates with other departments to resolve discrepancies and provide necessary support.
  19. Ensures compliance with applicable accounting regulations, standards, and company policies.
  20. Adheres to all FHCCGLA Policies & Procedures (P&P’s).
  21. Performs additional duties as assigned to support the accounting department team and organizational needs.
  22. Types all entries accurately (e.g., spelling, accurate vendor/employee name, etc.)

Qualifications

MINIMUM QUALIFICATIONS: 

 

  1. High school diploma or equivalent; additional education in accounting or finance is a plus.
  2. Strong attention to detail and excellent organizational skills.
  3. Solid understanding of accounting principles and practices.
  4. Effective communication skills, both written and verbal.
  5. Ability to multitask, prioritize tasks, and manage time effectively.
  6. Proficient in Microsoft Word and Excel; additional computer knowledge is preferred.
  7. Ability to prioritize workload and meet deadlines under pressure.
  8. Access to a reliable automobile, with a valid California driver's license and state-mandated automobile insurance.

  9. Ability to work both independently and collaboratively within a team environment.
  10. 1-2 years’ experience in accounting.
  11. Must be familiar with use of personal computer including Windows software.
  12. Some experience in the billing system and billing department.
  13. Proficient with using computers, accounting database, and Windows software.
  14. Collaborative experience with billing department is a plus.
  15. FQHC experience, highly preferred.
  16. Excellent analytical skills.
  17. Exceptional organizational skills.
  18. Strong self-motivation skills to take initiative to ensure all tasks performed are completed thoroughly, accurately and timely.
  19. Excellent writing and verbal communication skills.
  20. Bilingual English/Spanish (to help when addressing Spanish speaking Board members and employees), preferred.
  21. Access to automobile with valid California driver’s license and state mandated automobile insurance.
  22. Work schedule may include evenings, overtime, and weekends as needed.
  23. Ability to prioritize workload and work under pressure of deadlines.
  24. Motivated and committed to the provision of high-quality healthcare for indigent and underserved communities.
  25. Ability to function self-sufficiently, requiring little supervision.
